Property management / custom service

Give maintenance requests a clearer route to review.

A maintenance message may arrive without the property, unit, access details, or a useful description of the issue. We can scope a custom intake workflow around the channels your team actually uses, the information staff need, and the decisions that must remain with people.

A practical approach

Work through the real process.

Define the information, people, review points, and system boundaries before deciding what to build.

01

Map one request journey.

Start with one request type and document where it arrives, who reads it, what information is often missing, and how the next person takes ownership. A practical intake record might separate the reported issue, location, timing, access constraints, contact preference, and attachments. The fields and handling rules should reflect your actual process and data permissions.

02

Use automation where it is bounded.

A proposed workflow could ask for missing non-sensitive details, organize a draft work item, or prepare a summary for a coordinator. It should show the original message alongside any AI-assisted interpretation so staff can check it. An urgency cue should prompt review; the system should not make a safety decision, dispatch a contractor, promise a repair time, or send a resident-facing update without an agreed approval step.

03

Scope the connections before committing.

We would check what access your property system and communication channels provide, what data may move between them, who can see tenant information, and how failures are handled. A direct integration is not assumed. A smaller first build can use a reviewed export or a manual handoff if that is more appropriate.

04

What to bring to a project discussion.

Describe one common maintenance request, where it arrives, the team roles involved, a typical missing-information problem, and the systems that may need to participate. Share process descriptions in the initial form; do not send tenant records or credentials.

Start with one workflow

Tell us where the work gets stuck.

Share a short outline of one maintenance intake process. We will review the request and clarify scope before making a delivery commitment.
