Solutions / inquiry workflow

Give each inquiry a clear next step.

A missed detail or unclear owner can slow a response. A custom inquiry workflow could organize new requests and prepare follow-up, while a person decides what to send and when.

A practical approach

Work through the real process.

Clarify the information, people, review points, and boundaries before deciding what to build or use.

01

Map the intake channels

Identify where inquiries arrive, which fields matter, how duplicates are recognized, and who owns the first review. Separate a business inquiry from marketing consent; one does not imply the other. The initial form should discourage sensitive records until a secure process is agreed.

02

Prepare, review, and send

A system could summarize a request and draft a question or acknowledgment. Staff should see the original message, correct the draft, and approve any external reply. The design should record an owner and prevent repeated or inappropriate contact.

03

Plan exceptions

Test ambiguous requests, missing contact details, failed delivery, and requests to stop communication. Define how a human can override the workflow and how the team will audit what happened before connecting real channels.

Next step

Discuss one real workflow.

Describe where inquiries enter your process and what usually stalls the first useful response.
